Manufacturing

From hundreds of scattered files to one screen per customer, how Todotrofeo rebuilt sales on Odoo.

Todotrofeo, the family-run Spanish trophy and medal manufacturer founded in 1986, replaced a basic accounting tool with Odoo in 2018. The cost was a long, hard year of learning a real ERP.

How it started

Before Dynapps stepped in.

By 2018, Todotrofeo was already a thirty-two-year-old family business. Jorge Díaz, the manager and second-generation owner, ran the company from its base in Spain, designing and producing personalised sports trophies and medals for clients at home and abroad. The product side held together; the software did not. Todotrofeo was running on a basic tool good enough for invoicing, not good enough for a company whose work is entirely made to order. Customer briefs, sketches, material choices and production runs spread across folders. Information was lost across hundreds of files. When their IT provider suggested Odoo that year, the choice landed in front of him.

The turn

Why Todotrofeo went with Dynapps to learn Odoo from scratch.

The trigger was external. Todotrofeo's own IT provider, the one who knew the existing setup, recommended Odoo in 2018. Jorge's team did not know Odoo at all going in, and started looking for a partner who could implement it for them. They found Dynapps in Spain, made contact, and the relationship took hold.

Why Dynapps: they treated Todotrofeo well, offered exactly what the company was looking for, and committed to the work. The reciprocity matters. Todotrofeo did not pick the cheapest quote, they picked the partner who took them seriously.

How the rollout really happened

How Todotrofeo put sales, CRM and orders on Odoo.

  • 2018

IT provider recommends Odoo. Dynapps engaged. Implementation begins.

  • 2025

Migration to Odoo 17. Personalisations developed over time to fit Todotrofeo’s evolving needs.

  • 2026

Sales, CRM and orders run on Odoo. Customer history sits on one screen per client.

What we actually built

What Todotrofeo runs on Odoo: one screen per customer, from enquiry to delivery.

Dynapps deployed Odoo as the system of record for Todotrofeo's sales and order operation. The modules in daily use are Sales, CRM and Orders, the three that touch every personalised job from first enquiry to delivery. The move that matters is consolidation: the system replaced the hundreds of scattered files with one screen per customer, where a salesperson reaches the sale itself, the production status and the administrative context in a single click.

The colleague who uses the system every day adds the operational reality. The CRM links directly to the quote, the quote to the order, and the order back to any document the customer has sent in: the sketch, the brief, the approval. The result is dynamic and agile. In a business where every product is bespoke and every customer has a history, that single thread from CRM through quote through order through artwork is the platform doing the job the old tool could not.

Modules: sales, CRM, orders.

What was hard

The hard part was learning to work a real ERP.

Jorge does not hide that the switch was painful. It was a long challenge, with many hours of suffering. He frames it as the natural cost of moving from a basic tool to a large and efficient ERP, a system with a different operating logic. The team had operated their old way for years; the new platform asked them to operate differently across every customer record. That gap, between how the work used to flow and how the new system wanted it to flow, was where the hours went.

Manufacturing
It has been complicated, it has been quite a long challenge, but today we are very happy with it, because it is delivering the performance we were hoping for.

Manager at Todotrofeo

By 2025, sales, CRM and orders run on one Odoo for every custom job.

The hundreds of scattered files are gone. Sales, CRM and orders run on one Odoo where each customer has a single screen that links the enquiry to the quote, the order and the artwork they sent in. Personalisations built over the years keep it fitting a made-to-order business, and the platform moved to Odoo 17 in 2025.

~500

orders processed per month on the Odoo platform.

1.5M+

products (trophies and medals) produced per year.

The real win

From ‘where did we save that file?’ to ‘it’s all on one screen’

From ‘where did we save that client’s file’ to ‘everything about this client is on one screen.’ The strategic posture changed before the metrics did. Todotrofeo’s salespeople stopped reconstructing customer history out of folders and started working from a single record that already knew what had been quoted, produced and delivered. The bespoke-trophy business runs on memory of every prior job; the move from a basic tool to Odoo made that memory institutional rather than personal.

If this sounds familiar, let’s talk.

Wherever your business is heading and wherever it's getting stuck, an expert who has run this kind of work is the right person to start with, before you commit to a direction or a platform.
