Ergonomio is a small Belgian company that sells ergonomic products online, built around a webshop that had been running for roughly fifteen years. Behind the shop sat a fully custom system in FileMaker, extended for about twenty years until the business had simply grown around it. By the time it reached its limits, the strain showed in the daily routine: stock had to be placed on the website by hand, and every shipping label was typed out one at a time. With no IT staff in house, the question for Ergonomio was no longer whether to move, but how, and with whom.

On the old system, availability on the website was maintained manually. Every time stock moved, someone had to update the site, and customers could not simply filter for what was actually in stock.
One shipping label at a time
For each parcel the team opened the carrier's website and typed in the address and the name, label after label, for every shipment that went out the door.
Waiting on the accountant for the numbers
The bank was not connected to anything, so seeing which payments had come in and gone out meant waiting for monthly listings from the accountant.
Why Ergonomio chose Odoo, and a partner, over twenty more years of custom code.
The push to move came from two directions at once: Ergonomio was rebranding its website, and the twenty-year-old custom system was reaching its limits, with the company pressing against what it could still do. Two established Odoo partners came into view, IO in Herentals and Dynapps. For Ergonomio, IO felt out of reach, and the company felt too small a client for them; with Dynapps there was a better fit and personal, local contact, alongside the reassurance of an Odoo-only Gold partner. Three paths on the table:

How the rollout really happened
How Ergonomio moved its webshop to Odoo in about six months.
Phase 1
Writing out every business process before touching the system, the step that proved most worth the time.
Phase 2
Basic configuration up front, then hands-on workshops, one business-process topic per workshop, with a written manual handed over after each one.
Phase 3
Go-live on Odoo (version 17), about six months from process mapping to go-live, with website development continuing well beyond the initial rollout.

The build put the whole order flow on one platform. The webshop runs on Odoo Website and eCommerce, with a product configurator that shows, per configuration, whether each option is in stock. Sales and Purchase are linked, so a confirmed web order can generate the matching purchase order to the supplier. Inventory shows real-time stock on the site. Manufacturing and disassembly orders are used not to manufacture but to swap chair parts between boxes and repack them, handling the variant complexity of a configured chair. Shipping runs through a Sendcloud integration that prints labels automatically on delivery confirmation, replacing the manual carrier-site entry. Accounting has the bank connected for one-to-one payment checking, and Email Marketing sends an automatic manual to the customer after each shipment. Product data was restructured into Odoo's templates and variants, a shape the old system never had.
Ergonomio ran the project with a small internal team and no IT function, dedicating one person to lead it day to day. On the Dynapps side, two consultants carried the work, one on the backend and one on the frontend, across a build of about six months.

The intent was to stay within standard Odoo rather than rebuild the old custom logic. The recurring question in every workshop was whether to bend the system to the old way of working or adopt Odoo's standard flows. Ergonomioheld to that on the process side, though the website design and layout later took on more custom work than planned, a point the company revisits in what it would do differently.

Where an Odoo migration gets hard for a small team without in-house IT.
The hardest part was not technical. Three frictions stand out.
First, the product data. Getting it out of the old system was only the start; every product then had to be rethought for the web, filters, characteristics, suppliers, and details that had never mattered before, such as weight, which was suddenly needed for shipping. On top of that, moving to Odoo's templates and variants was a structure the team had never used. It went well in the end, but it took a great deal of time and it was intense.
Second, letting go. Coming from twenty years of fully custom software, Ergonomio was constantly challenged to decide whether to bend Odoo to old habits or adopt its standard flows. The honest version is blunt: you have tojump, and there is no going back.
Third, continuity on a small team. Only one person could go deep enough to stay fluent, while colleagues lost the thread between sessions because they were not in it every day, and the business still had to run. At its peak the build took three to four days a week of that person's time, up from one to two days early on. With no spare capacity, dedicating someone to it while everything else kept moving was the real strain.

The win is a change of posture. Ergonomio moved from keeping a twenty-year custom system alive to running on a standard platform its own team can extend. The default question shifted from “how do we keep our own system running?” to “what do we build next?”, with the projects module, freelancer scheduling, an upgrade to a newer Odoo version, and AI on top now on the roadmap. Honest caveat: search authority dipped after the rebuild onto a new domain and structure, and the company is rebuilding it, so this is a shift in footing, not a finished victory.
